Case Study: AI Voice Agent for QuickBooks
Small and medium-sized businesses (SMBs) often struggle with accounts receivable (AR) collections. Business owners spend countless hours chasing overdue invoices, sending reminders, and manually following up with customers. While QuickBooks streamlines accounting, it lacks a truly automated, human-like collections solution that can reduce this burden.
The challenge was clear: How might we design an AI-driven solution that automates collections, improves cash flow for SMBs, and integrates seamlessly with QuickBooks?
My Role
As both Product Designer and AI Technologist, I led the end-to-end vision for this solution. Defined the user journey for business owners, from onboarding to invoice collection tracking. Designed an experience that balances automation with a sense of personalization and professionalism. Architected the integration between QuickBooks APIs, voice AI, and multi-channel follow-ups (SMS + email).
Outcome
From a design perspective, I focused on Clarity, Simple onboarding flow that minimizes technical barriers. Trust: Clear messaging to reassure SMBs about data security and brand alignment with QuickBooks. Feedback Loops: Built-in notifications so owners know when outreach is happening and when payments are received.
I created a seamless voice + text + email ecosystem that feels like an extension of QuickBooks rather than a third-party tool. Positioned the product for listing on the QuickBooks App Store, enabling distribution directly to millions of SMBs already using QuickBooks.
